PM Work Order Generation
A wide variety of selections are available when generating PM Work Orders. It is recommended that the All PMs method be used unless there are special reasons to segment the generation process. This ensures that no PM Work Orders are missed. Since Gauge Trips indicate a potentially dangerous condition, Gauge PM Work Orders will always be generated regardless of what method is chosen.
Access through:
Maint Icon
Preventive Maintenance Menu
Generate PM Work Orders
Then make a selection from:
All PMs
Elapsed Time and Meters
52 Week Schedule
Gauges Only
Generate Selective PM WOs/CSOs Menu
A Date Range will be prompted for if All PMs, Elapsed Time and Meters or 52 Week Schedule methods are chosen. The Starting Date is always the last Ending Date plus one day and cannot be changed here. Enter the Ending Date for the new generation period.
A Date Range will not be prompted for if the Gauges Only method is selected.
If the Generate Selective PM WOs/CSOs method is selected another choice will be presented. Select from:
Equipment And PM Desc. #
Location And PM Desc. #
Cost Center And PM Desc. #
Route And PM Desc. #
Enter the Equipment, Location, Cost Center or Route #. A selection list of valid PM Description Numbers will be presented. Select the desired PM Description Number.
For all methods, a Do you wish to print the PM Work Orders/Contract Service Orders after they have been generated? prompt will be displayed. If the answer is Yes, a selection of print devices will be requested.
After calculating the work orders ready to be generated, a list of Overdue work orders will be displayed. If you do not want to generate any of these at this time, simply click OK to continue without highlighting any work orders. Otherwise, highlight desired work orders then click OK.
Tech Tip: If you do not want to generate overdue orders, click OK to continue without highlighting any orders.
Caution: Clicking Cancel at this time will cancel the PM generation process completely. Restart process if needed.
While work orders are generated, a message screen will briefly show the work order numbers. At the completion of the process, a report will be printed showing all created PM Work Orders, plus a listing of those that are Over Due. This report can be printed again at any time (before the next generation) by selecting from the Preventive Maintenance menu, Preventive Maintenance Report menu, Re-Run PM Generation Reports. PM work orders will then be printed if you said Yes to the print prompt.
New! One of the printing options is to use E-mail. In the Work Order Printing selection window, click the icon for Email.
A message box will prompt if you wish to send the work order either Within the Email, as an Attachment, or converted and attached as a PDF document.
After choosing the method, another box will prompt for the text to be shown in the Email Subject line, then another box will prompt for the actual Email message, if any. The standard windows printer selection box will then appear, click Ok.
The e-mail will be sent to the Employee name shown in the Dispatched To field on the Update PM Frequency window. The work order planning window can also be used to indicate which employee a work order is dispatched to.
Note: The employee must have an e-mail address indicated in their Human Resources record. Click the link to see more details on setting up E-mail Notifications.
