Like any good tool, MAPCON is very versatile and can be used many different ways. Learning to use your new tool properly is very important. Most of us want to just jump in and start entering equipment data and generating PM work orders - right now.

However, your CMMS will only report good, reliable data if good, reliable data is entered to begin with.

Rushing the setup and data entry process can hurt rather than help your company if users can't find the information they are looking for quickly.  Frustration sets in, and they start to not want to use the system.

If you take the time to setup the system and enter the data correctly now, it will serve you well for years to come.

Going through the Quick Tour will help illustrate why planning your implementation and setup is beneficial in the long run.

STARTING WITH THE BASICS           

Volumes of information have been written on how to successfully implement a CMMS. Planning is an important common theme throughout most of them, and implementing MAPCON follows the same basic principle:  

           

            Failing to Plan is Planning to Fail

Careful planning up front will yield better results in the long run.

This implementation guide should be just that - a guide. There are many  methods, opinions, ideas, rules, and ways of doing things. Choose the ones that are best for your facility and method of operation.

1. Good communication between Management and Users. 

All involved need to "buy into" the system and encourage each other in using it.

2. Everyone needs to understand what the goals and objectives are for integrating MAPCON with the work flow process, as well as the timeframe for implementing each step of the process.

3. There should be rules to follow in data entry for consistency.  Remember GIGO: Garbage In, Garbage Out.

In other words, reports are only as reliable as the data input.

4. Finding a blend between how the system functions and how you currently track your daily operations. Be willing to try new ideas and new ways of doing things. Try to avoid the mentality of "We've never done it like that before".

Successful CMMS implementation will need to include the following:

If there is a constant in the universe, it is that all things will change. Those who adapt to changes survive the implementation of a CMMS.

Strive for Continuous Improvement:

Today's great solution is next week's good solution, which is next  month's OK solution, which becomes next year's marginal solution.

QUICK TOUR

1. Start with creating something to write a work order against.

A. Equipment

First create an Equipment Keyword, then enter a piece of Equipment.

Note: Keywords help organize Equipment into categories. Some examples are MOTOR, PUMP, CONVEYOR, CHILLER, etc.

B. Locations

Most Facilities (Universities, Schools, Hospitals, etc.) will want to start with creating a Location.

C. Cost Centers

Budget centers, charge codes or account codes are some other common terms to describe what we refer to as cost centers.

In other words, who is going to pick up the bill?

2. Create a work order!

Quick and Easy. Well, if only life were that simple.

While jumping right in can be fun and adventuresome, starting with a plan will help you stay focused and on track over the long run.

For instance, does someone need to approve work orders before they are handed out and acted on?

If yes, at least one person needs to be setup with the proper authority to do so.

When work orders are complete, do you want to be able to keep making adjustments to it, or just send it to a history file where it is considered finished forever?
