MAINTENANCE
Q: Do we allow MAPCON to Plan and/or Schedule the work?
A: MAPCON considers a Planned work order having Craft/Crew/Shift, # of Men and # of Hours filled in. Planning allows a comparison of Estimated vs. Actual time, material, and cost. (Give employees Authority to Plan Work Orders in Maintain Employee Authorizations.)
The Scheduling system goes a step further and searches through human resources to calculate the next available time slot for the order according to Priority (Required Date) and availability of workers. The suggested schedule can then be adjusted and fine- tuned if needed due to unplanned absences, breakdowns, etc.
Q: Is work classified by repair reason?
A: MAPCON can track Failure Codes which aids in reporting on and organizing repair history.
Examples of Typical Fail Codes:
PM scheduled Preventive Maintenance
AGE Age related breakdown
OPER Operator error
BREAK unscheduled Breakdown
There are many others that you can create according to your facility's needs.
Setup Fail Codes and Action Codes (an Action Code describes what was done to fix the situation) within Maintenance Administration.
Q: How are Service calls handled?
A: MAPCON can track Service contracts by outside vendors, and can also create Contract Service Orders against the Service Contract on a regular basis. An alternative way to track outside labor is to setup a bogus employee as the Contractor and setup a bogus Craft called Cont(ractor). Then, the "Contractor" can be planned on work orders and have timecards charged against the Craft.
Q: How far back will we track repair history?
A: MAPCON contains a History file to aid in keeping the Active file as small as possible for faster reports and Lookups. Send work orders to History as soon as possible (see the Appendix for more details). Older history records can then be Archived. Archiving removes the data from the system, but leaves an index intact to be able to browse the Archived data.
Most auditors only require 2-3 years of history be kept. To keep records organized for quicker retrieval, we suggest creating a Directory in File Explorer (under the root directory of MAPCON) called WO98. Archive all 1998 WOs to that folder. Repeat the process each year as needed (WO99, WO2000, etc.).
Q: Do we want to utilize Projects?
A: MAPCON has an extensive Project Management Module which uses PERT Analysis (Project Evaluation and Review Techniques), developed by the Polaris Missile Team and widely accepted today as the standard for calculating and scheduling Projects.
MAPCON's Project Module can track estimated vs. actual Budgets, various time frames and deadlines including critical paths, plus a list of who is authorized access. Projects can be nested and scheduled within other Projects, many levels deep if necessary.
Projects are defined as either Capital or Maintenance Projects. Capital Projects accumulate all related costs to the Cost Center on the Project. Maintenance Projects however will update the Cost Center of the entity listed on the work order (equipment or location's cost center). Work orders tied to a Project can be Scheduled, and if one is completed early, the entire schedule can be re-calculated automatically by MAPCON. Please consult the on-line manual for complete information on setting up and using Projects.
