Safety Procedure Data Entry

Access via the Administration Icon : Maintenance : Safety Procedures.

The Equipment, Location and PM Schedule Screens use safety Procedures.

This screen is used to create a library of standard Safety Procedures.  They can then be cross-referenced to pieces of Equipment or to Locations.  You have the option to print Safety Procedures with any Work Order written against a piece of Equipment or Location to which they are cross-referenced.

Use Standard Data Input Instructions to enter the Safety Procedure ID and Description.

Review Date - Use the Review Date Lookup to enter the date the Safety Procedure should be reviewed.

Safety Procedure Text - Click on the Zoom Button to enter the text for the Safety Procedure.

Equipment section

This is a list of Equipment IDs for which this Safety Procedure is applicable.

Add - Enter the Equipment ID you wish to add to the list.  A lookup is provided.

Delete - Double-click on the Equipment ID to remove it from the list.

Locations section

This is a list of Location IDs for which this Safety Procedure is applicable.

Add - Enter the Location ID you wish to add to the list.  A lookup is provided.

Delete - Double-click on the Location ID to remove it from the list.

You can also cross reference Safety Procedures from the Equipment, and Location screens.

Shift Data Entry

Access via the Administration Icon : Maintenance : Shifts.

Shifts are used by the Employee, Work Order and PM Scheduling screens.  Employees are assigned to a Shift.  The Shift can be specified for the labor entries on the PM Scheduling screen.  Labor for PM and Repair Work Orders can be scheduled by Shift.

Use the Data Input Instructions to enter the Shift Code and Description.

Starts - Enter the start time in hour:minute format.  Use military time.  For example, 14:00 is 2:00 PM.

Stops - Enter the stop time in hour:minute format.  Use military time.

Active Days - Place a Check Mark in the Check Boxes to indicate the days the Shift is active.

Work Order Priority

Access via the Administration Icon : Maintenance : Work Order Priority.

Priority is entered on a Work Order or Work Request to give the person dispatching Work Orders or Work Requests an idea of their relative Importance.

Priority is used in conjunction with the Impact field attached to Equipment, Locations and Charge Codes, hereinafter referred to as "Maintained Entities".  The Impact field contains a number, between 1 and 10, that identifies the impact to the Company if the Maintained Entity is out of service.  For example, a printing press at a newspaper would be the highest impact and a "10" would be entered in its Impact field.  A vending machine would not affect production.  "1" would be entered in its Impact field.

Multiplier - The Work Order's Importance field is the product of the Multiplier associated with the Work Order's Priority and the Impact associated with the Maintained Entity.  Place the cursor on the Multiplier to be changed and enter the change.

For example, Priority 1 might have a Multiplier of 10.  If a Work Order with Priority 1 is written against a Maintained  Entity with an Impact of 10, the Work Order's Importance will be 100.  A Preventive Maintenance Work Order might have a lower Priority, for example, Priority 2.  In that case, the Work Order's Importance would be 20.

Slack - In addition to the Multiplier, Slack can also be defined for each Priority Level.  Slack is in days and will affect the calculation of the Date Required for a Work Order.  The Date Required field on a Work Order will be set equal to the date in its Date Created field plus the days of Slack associated with its Priority.  Place the cursor on the Slack to be changed and enter the change.

Work Orders can be sorted in Priority, Impact or Work Order Importance order.
