The following is the online version of the MAPCON Lite User Manual for the software version indicated in the Table of Contents. The Manual provides a detailed description for the users of our Maintenance Software and Preventive Maintenance Software operations and methodology. Work Requests

Work Requests are used for tasks that do not require Labor, Inventory, Purchases or Cost tracking, e.g. inspections or changing light bulbs.  A Work Request can be dispatched or converted into a Work Order.  For example, Labor and Inventory resources might be required as a result of an inspection.  Work Requests can be written against Equipment or Locations.  They can also be written against Charge Codes if Costing has been purchased.

 

Work Orders

Work Orders allow for planning Labor, Inventory and Purchasing requirements and for comparing planned resources with the actual resources used.  Work Orders can be written against Equipment or Locations.  They can also be written against Charge Codes if Costing has been purchased.

Print Work Orders

You can print selected Work Orders or all Work Orders that have not previously been printed.  Issue Tickets and Safety Procedures that have been attached to a Work Order will be printed with the Work Order.

Dispatch WRs and WOs

Work Requests and Work Orders can be dispatched to a selected Employee on a selected Shift.  The Work Request or Work Order will identify the Employee it has been dispatched to.

Work Order Close

A Work Order is closed by entering a Completion Date on the Work Order Close screen.  Meter or Gauge readings can also be entered at this time if the Work Order is written against a piece of Equipment.  The following restrictions apply to closing a Work Order:

 

Facility Maintenance Software Manual   All Requisitions and Purchase Orders must be processed if the Purchasing Option has been purchased.

Maintenance Management Software Manual   All Issues must be processed if the Advanced Inventory Option has been purchased.

The system will warn you if less than 50% of the Planned Labor has been charged.

Browse Work Request History

A Work Request History file will be maintained if a Check Mark is placed in the Maintain History for Work Requests Check Box on the System Initialization screen.  A complete history can be browsed but not changed.

Browse Work Order History

A Work Order History file will be maintained if a Check Mark is placed in the Maintain History for Work Orders Check Box on the System Initialization screen.  A complete history can be browsed but not changed.  An extract of Work Order History is displayed on the Equipment and Location screens even though the Check Box has not been checked

Note - If the Security Option is purchased, Users can be set up so that they have access to Browse Screens only.  This type of security is used for managers who need to have access to information but who are not involved in the daily operations.

Inventory Data Entry - Standard System

Access via the Inventory Icon : Inventory Data Entry.

There are two versions of the Inventory Screen - the Standard System Screen and the Advanced Inventory Screen.  The Advanced Inventory Screen will be invoked only if the Advanced Inventory Option is purchased.  The following documentation is for the Standard System only.

Use Data Input Instructions to enter the Inventory ID and Description.

Aisle - Enter the ID of the Aisle where the Inventory Item is stored.  A lookup is provided.  This information is purely informational unless the Advanced Inventory Option is purchased.  In that event, the Aisle is used for Physical Inventory Reconciliation (Cycle Counting).

Shelf - Enter the name of the Shelf where the Inventory Item is stored.

Bin - Enter the name of the Bin where the Inventory Item is stored.

Type - Enter the Inventory Type.  A lookup is provided.  An Inventory Item can be looked up by Inventory ID or Type.
