Purchasing

A fully integrated Purchasing System includes Requisitions, Purchase, Printing, Receiving, Invoice Reconciliation, a Manufacturer Database and a Vendor Database. The use of Requisitions and Invoice Reconciliation are optional.

A normal Purchasing/Receiving cycle is as follows:

       Create a Requisition, manually, automatically or from Email (optional).

       Add a Requisition to a Purchase Order (optional).

       Create a Purchase Order.

       Print the Purchase Order (optional).

       Fax or Send a Purchase Order to the Supplier (optional). (Define a fax machine as a "printer" and send PO to "printer".)

       Receive goods.

       Reconcile Receipts against Purchase Orders (optional).

       Transfer Purchase Orders to a History File (optional).

Different Departments may be responsible for Requisitioning, Ordering, Receiving, and Reconciliation. The basic cycle remains the same if one person is responsible for the tasks instead of separate Departments.

There is a many to many relationship between Requisitions. Purchase Orders, Receipts and Invoice Reconciliations.  Line Items from many Requisitions will appear on a single Purchase Order. A Receipt is limited to a single Vendor, but may include Line Items from more than one Purchase Order. Finally, the Vendor's Invoice may contain Line Items from multiple Purchase Orders.

Security

How Does Client Side Security Work?

Client Side Security allows you to control access to Mapcon Lite by assigning Security Codes to Menu Items, Screen Components and to the Mapcon Lite's Users.  Components are the elements of each Screen where data is displayed, e.g. Grids or Edit Boxes. From here on, Menu Items and Components will be referred to as Securable Objects.

Each Security Code has two parts - a Security Category and a Security Level.  The Security Category is a three character alphanumeric code and the Security Level is a one character number ranging from 0 to 9 indicating the Security Level within the Category.  For example, INV-6 might mean level six access to an inventory file.   As many Security Categories can be created as desired. They are not necessarily tied to a database.  EMP might be assigned the meaning Employee File.  It can then be used to govern access to the Employee file in order to restrict the view of an Employee s Pay Rates.  Each User can be assigned multiple Security Codes and can have different Security Levels for each Security Category.

When Mapcon Lite is operating, the Security Code assigned to each Securable Object is matched against the Security Codes assigned to the User. The User is given rights if they have a Security Code with a Security Category that matches the Security Category of the Secured Object and a Security Level that equals or exceeds the Security Level of the Securable Object.

One special Security Category, SYS, overrides all others.  A User with Security Category SYS 9 has access to all Securable Objects regardless of any other Security Codes that may be assigned to them.  A SYS Security Code and Security Level can also be assigned to a Menu, Component or User.  If that is done, a User must have a SYS Category and a sufficient Security Level for the Security Option to be effective.  However, that User will have rights to all other Components or Processes that have Security Codes other than SYS.
