CONTRACT SERVICE SYSTEM

Overview

The Contract Service System provides an easy way to establish, maintain and monitor Vendor Agreements (Service Contracts). The Service Contract specifies a Contract Start and End Date, the Vendor Number, and a list of specific Equipment, Locations or Cost Centers for which services are to be provided.

The services purchased can be for either maintenance, construction or capital improvements.

Administering a Service Contract involves a three step process.

1. Create the Service Contract and define the definition and duration of the services.
2. Create and send a Purchase Order for the services to the Vendor.
3. At any time during the period of the contract, create Contract Service Orders against the Service Contract and forward them to the Vendor.

The Contract Service Order completion procedure includes a Call Report feature to record the labor and materials that have been provided under the contract.

A Purchase Requisition can automatically be generated if labor and materials are provided that are not covered by the Service Contract.

Contract Service Orders for preventive maintenance can be automatically generated by the Work Order Generation feature of the Preventive Maintenance System.
