Main Page

CD - Enter E for Equipment, L for Location, R for Route or C for Cost Center. Click on the Down Arrow to invoke a selection list.

Equipment, Location, Cost Center or Route - Enter the Maintained Entity's Number. A Lookup is available.

PM Desc # - Enter the PM Description Number that will be used for Work Orders generated by this Frequency Setup or enter the word CYCLE to allow the setup of a rotating PM.

Preventive Maintenance Frequency can be established on the basis of elapsed time (i.e. every 30 days), Meter Readings (i.e. every 3000 miles) or both working together.

Elapsed Time Setup:

Frequency Code - This code establishes the minimum Time Interval between Work Orders generated for this PM Frequency. Enter D for Daily, W for Weekly, M for Monthly, Q for Quarterly, SA for Semi Annually or A for Annually. Do not enter data in this field if generation is to be on the basis of Meter Readings only. A Lookup is available.

Multiplier - Enter a Multiplier for the Frequency Code. The Multiplier times the Frequency Code determines the minimum generation interval. For example, if the Code is M and the Multiplier is 2, the PM Work Order would be generated every two months.

Freq Day - If the Frequency Code is Weekly, the day of the week can be entered (i.e. MON). If the Frequency Code is Monthly or greater, the day of the month can be entered. Lookups are available.

Generate By Date Last Done -  The status of this checkbox is inherited from a similar checkbox on the PM Description screen and can be changed. Click on the checkbox if PM Work Orders are to be generated on the basis of the Date Last Done.

Normally, the system will generate a Work Order every 60 days if the Time Interval is set to 60 days regardless of when the previous Work Order was completed. If the checkbox is checked, the 60 day interval will not start until the previous Work Order has been Completed. This will most likely cause an interval between Work Orders greater than the Time Interval specified.

Advance # Days - It may be desired to generate the Work Order early so that it can be used as fill work when manpower becomes available. Enter the number of days in advance that the Work Order should be generated. The Advance Number of Days defaults to the entry in a similar field on the PM Description screen and can be changed. How it is set HERE will override the generic PM Description setting.

Allowed Days For Daily PM - This field is valid for daily PMs only. Work is always scheduled or planned so that it can be completed on the date prior to the Date Required. A Lookup is available. Or, press Insert for each entry and enter the days manually.

For a seven day week, enter SUN, MON, TUE, WED, THU, FRI, SAT.

For a six day week with Sundays excluded, enter TUE, WED, THU, FRI, SAT, SUN. Monday is excluded because the work would be done on Sunday when labor is not available.

For a five day week with Saturday and Sunday excluded, enter TUE, WED, THU, FRI, SAT.

Allow Duplicate Work Orders - Click on the checkbox if duplicate Work Orders are allowed. If the checkbox is checked, Duplicate PM Work Orders will be generated every time the PM Generation process is run as long as the previous Work Order remains unclosed.

The status of this checkbox is inherited from a similar checkbox on the PM Description screen and can be changed. How it is set HERE will override the generic PM Description setting.

Date Last Due  or Date Last Done - When using Time Interval method, PM Work Orders are generated by

(1) adding the Time Interval to the Date Last Due
OR (2) adding the Time Interval to the Date Last Done.

A software switch in the Elapsed Time Setup section selects one of these methods. Enter or change the Date Last Due or the Date Last Done so that the next PM Work Order will be generated at the desired time.

Safety Procedures - Enter the number(s) of any Safety Procedures that should be attached to the Work Order being generated. A Lookup is available.

New! Account # - Enter the Account number to be assigned to the generated work order. A lookup is available.

Service Contract # - If applicable, enter the Service Contract Number this Contract Service Order [a PM Work Order to an outside Vendor) is being written against.

There are two more pages of information:

Click on Meters to setup Meter Intervals, or click on Cycles/Labor to enter any Cycle PMs, Charge Codes, or labor for Job Steps.

Click on Save to save the record after the desired information has been entered on ALL screens.
