Definition

Keywords describe pieces of equipment by a generic class, i.e. Boilers, Motors, HVAC. Keywords are used to sort information on the Lookup lists. Make sure the primary part of the Keyword is first, i.e. Motor-3HP, Motor-5HP.  Further, use Motor-AC or Motor-DC instead of AC-Motor or DC-Motor. This will cause all motors to be grouped together in the Lookups and on reports.

Keywords cannot have spaces. Spaces will be replaced with underscores. Recommend using either dashes or underscores consistently; do not mix naming conventions.

Specification Titles are optional fields that attach to a Keyword. The Equipment record can have up to sixteen Specification Titles and fields for data entry beside each Specification Title. Each Keyword can have different Specification Titles.

For example, if Cars-Exec is the Keyword for all executive vehicles, then Specification Titles could include: VIN number, Make, Model, Year, License number, Fuel type, color, etc. When Cars-Exec is the Keyword for a piece of equipment, these titles, and fields for data entry beside each title, will be displayed on the Equipment Specifications screen.
