Understanding MAPCON's Work Request System: A User Q&A

Internal MAPCON Users

Q: Who can use the work request system?

A: Anyone who has a valid MAPCON password and login (and has sufficient security levels) can potentially use the work request system inside of MAPCON. There is also the html work request form, which is a link to create a work request from outside of MAPCON, and then no login is required, making it easier to provide access to more people.

Determining Appropriate Access Levels

Who Should Have Access?

Perhaps a more important question is: Who should have access to the work request system?

Normally, the people who access MAPCON probably come from the maintenance department—the managers who run the department or the supervisors, workers who actually complete the work orders, or the clerical workers who have as their job data entry into MAPCON. There may be exceptions to this rule. The IT department may have access to system administration, the purchasing department to MAPCON's purchasing functions, or upper management to MAPCON's reporting. For the most part, the people who use MAPCON will be the maintenance department.

The Benefits of Wider Access

In the case of the work request system, however, it may be beneficial to let a much larger group of people have access to the system. The main idea behind work request systems is that if more people are looking for and reporting problems, more problems will be found and corrected before they become serious or detrimental to the company. Also, the more people who use the formal work request system, the fewer who will make requests in more haphazard and inconvenient ways.

Reducing Informal Requests

For example, it is well known that maintenance departments having a widespread work request system will decrease the inflow of phone calls dramatically. This may not seem important, but a workplace with fewer jangling ringing phones can be a much more pleasant workplace.
